Race Director Outline

  1. Pre-Race Details

    1. Race Site - directions and map to site
    2. Race Name
    3. Course Distance - layout, map of course (incl. water stops), photos, enlargement of race course for race day
    4. Sponsors - event sponsors (Runner's World etc. need 90 days notice); giveaways; raffles; food; Newspapers (if charity event)
    5. Registration - online at www.active.com , local running shops
    6. Artwork and Design - Race Logo, T-shirt, awards, trophies
    7. Race Flyer and Poster - running shops, races
    8. Website - all race details, online registration, entry form printout, maps, photos
    9. Awards - mugs, trophies, or plaques; Top male and female, Top Masters male and female, Top 30 Male and Female mugs. (+30-40 for sponsors, volunteers etc.), Ribbons for Kid's 1/2 mile.
    10. Timing Clock and place cards (Name, Time, Age, Race #, Numbered)
    11. Race Numbers.
    12. Race Banner for finish line photos
    13. Race Insurance
    14. Internet - listings on race calendars - www.Active.com, www.coolrunning.com, www.runnersworld.com, www.trailrunnermag.com, www.trailrunner.com, www.roadid.com 
    15. Contact local EMS personnel about event (if required)
    16. Volunteers - photographer, water stops, course control, parking, registration, finish chute, results table, clean-up, post-race party

     

  2. Race Day Details

    1. Race Director

      2. Post-Race Announcements
        1. Awards, raffle and raffle #'s, thank the sponsors
    2. Course - traffic cones, surveyors' flags(50-100), marking paint, ribbon, signs (18" x 24") and stakes, sledge hammer.
    3. Water Stops - cool water, paper cups (enough for 2 drinks per person), trash bags, insect repellent, cell phone.
    4. Finish Line - timing clock, banner, chutes, finish cards (male and female), pencils (All supplied by Ric Dorrie)
    5. Signs (see course above) 
      1. Enlargement of Course map for display
      2. Redo Fast Signs / Fast Times with new course records
      3. Parking on left only
      4. Registration Here
    6. Volunteers - registration, water stops (use paper cups only), course control, finish chute, results table, post-race party, cleanup, parking
    7. Registration - (bring pre-registration printout)
      1. Entry forms, pens, change (write all race #'s on entry forms and registration list)
      2. Goodie bags - race #'s (mark with fluorescent marker to deter bandits), safety pins, t-shirts, giveaways
    8. Awards Ceremony
      1. Top Male and Female, Top Masters Male and Female, Top 30 Male and Female (pass out at finish line), Ribbons for Kid's Race (pass out at finish line)
    9. Food - rice & beans, ice cream, hotdogs, cookies, fruit, water, Gatorade, bagels, trash bags, lots of ice.
    10. LED sign - send list of ads and announcements.
    11. Music - Pre-race (upbeat); Star Spangled Banner; Post-race (dance), P.A. system or stereo, D.J. (Grant Hemond)
    12. Photography - John Schakel for finish line photos; volunteers for race photos (start, finish line, group, awards) digital for uploading or print to CD when processing
    13. Portalets - (1 for every 50-75 people); handicapped are larger for $10 more; bring extra toilet paper. 
    14. First Aid Kit and ice
    15. Supplies - duct tape, staple gun and staples, nails, string, rope, sledge hammer (signs), stakes, course marking tape
